A lower pump quotation is not necessarily a lower import cost. Before comparing two OEM submersible pump offers, make sure both suppliers quote the same product specification and the same delivery rule, named place and Incoterms edition. An EXW factory price and an FOB port price describe different obligations. Treating them as interchangeable can make a seemingly attractive offer expensive to execute.
Start with the named place, not the three-letter code
“FOB China” is too vague for a purchase order. A practical quotation should identify the rule, named location and edition—for example, “FOB Ningbo Port, Incoterms® 2020,” where appropriate to the actual shipment. Confirm the transport mode and ask the forwarder whether the proposed term fits the way the cargo will be handed over.
| Rule | Practical handover concept | What the pump buyer must clarify |
|---|---|---|
| EXW — Ex Works | Goods made available at the named premises | Collection, loading, export formalities, origin transport and whether the buyer can actually arrange them |
| FCA — Free Carrier | Seller delivers to the buyer-nominated carrier at the agreed place | Exact handover point, who loads at that point, export clearance and forwarder instructions |
| FOB — Free on Board | Seller delivers goods on board the vessel at the named loading port | Sea/inland-waterway suitability, port charges, on-board handover and the freight booking |
This is a comparison aid, not the complete legal text. The full contractual allocation depends on the selected rule and agreed place. For containerized cargo handed to a carrier before loading on a vessel, FCA often deserves specific consideration rather than automatically choosing FOB.
A pump quotation contains more than the pump
A compact submersible pump order may contain several power ratings, market-specific plugs, hose adapters, float-switch versions, printed cartons and multilingual manuals. These items determine the product price; the delivery term determines where logistics responsibilities change. Keep the two discussions separate.
Ask each supplier to quote an identical SKU matrix: model, input voltage/frequency, plug and cable specification, outlet and included adapter, motor/impeller configuration, packaging, quantity and agreed inspection scope. Then request a distinct logistics line: named delivery place, Incoterms edition, estimated ready date, carton dimensions and weights, and the documents to be supplied.
An illustrative comparison without invented freight rates
Imagine Supplier A offers USD X per pump EXW and Supplier B offers USD Y per pump FOB. You cannot rank these offers until you add the origin pickup and export-handling work associated with A, and confirm precisely what B's FOB price includes. Do not insert an assumed freight or tax percentage merely to force the offers into one spreadsheet. Ask the freight forwarder for route- and shipment-specific charges, and separately check import duty, taxes and destination fees in the destination market.
The same discipline applies to sample orders. A courier shipment of two pumps and a palletized or containerized production order may warrant different logistics arrangements. The commercial term should reflect the actual movement of goods, not a phrase copied from an earlier quotation.
Seven questions to settle before the purchase order
- What exact named place and Incoterms® edition appear on the quotation and contract?
- Who arranges export clearance and the documents the forwarder needs?
- Where does the agreed delivery and risk transfer take place?
- Who pays origin pickup, terminal handling, loading and other charges under the agreed rule?
- Does the quotation cover all approved pump, cable, plug, adapter and carton variants?
- Who provides packing list, commercial invoice and any agreed test or compliance documents?
- What changes if the shipment is delayed, split or moved to another port?
How to make the next RFQ easier to compare
Send one purchasing brief to all candidate suppliers, with the same product matrix and the requested delivery rule. Ask them to mark exceptions instead of quietly replacing a plug, shortening a cable or excluding an adapter. For a YARDPUMP project, start with the buying and RFQ guide and send the intended destination market, model family, quantities and requested delivery place through the inquiry page.
Buyer conclusion: Product price, logistics term and landed cost are three different numbers. A sound comparison identifies all three rather than selecting the lowest figure on the first page of a quote.
FAQ
Is FOB the same as freight paid to my destination? No. FOB identifies a sea/inland-waterway delivery rule at the named loading port; it does not mean the seller has paid ocean freight to the destination.
Can I use FOB for a container shipment? It is used in practice, but the handover mechanics may make FCA more suitable. Confirm the arrangement with your forwarder and contract advisers.
Does Incoterms determine warranty or product quality? No. Warranty, conformity, payment terms and dispute resolution need separate contractual treatment.
